Microsoft 365 licences
and cost, reviewed.
We review how your Microsoft 365 licences are assigned and used, using reports you choose to share, and give you a written report of unused or mismatched licences, overlapping add-ons and renewal dates. Prices are shown as dated list prices and no saving is promised.
Who it is for
Organisations paying for Microsoft 365 licences that have not been checked since they were bought, or that are about to renew, add Copilot or change plan.
What we review
- Licence inventory. plans, counts, assigned and unassigned licences and renewal dates.
- Assigned versus used. licensed accounts with no recent sign-in or service use, including leavers, service accounts and test accounts.
- Plan fit. whether each group of users needs the features of the plan they hold, and where a different mix could fit, using our cost calculators for the inputs.
- Add-ons and overlap. add-on licences that duplicate features already in a base plan, and add-ons assigned to people who do not use them.
- Copilot licences. Microsoft documents eligible prerequisite licences for Copilot and says availability and terms change. The report compares licences assigned with active use and points to our Copilot licence value check.
- Shared mailboxes. Microsoft notes a shared mailbox can hold up to 50 GB without a licence, and that larger sizes or an archive need additional licences. The report finds licences assigned to shared mailboxes that may not need them.
- Group-based licensing. whether licences are assigned through groups, group membership that no longer matches need, and licence assignment errors.
- Leavers and unlicensed access. how licences are freed when people leave, and what happens to mailboxes and data.
- Guest and service accounts. licences on accounts that are not people.
- Subscription terms. billing frequency, commitment terms and renewal dates. Microsoft notes that for some subscriptions you can only cancel during a limited window after buying or renewing, so dates matter.
- Price basis. the list prices used, their date and source, and a clear note that negotiated and partner prices differ.
What you get
A written report, delivered through the channel agreed in the quote. It contains:
- An executive summary in plain language
- A licence table: plan, assigned, used, unassigned, renewal date
- Findings with severity and the evidence behind each one
- A dated list-price view of the licence mix (no savings are promised)
- A fix-first list, a 30/60/90-day plan, and a list of what was not checked
See the format in the fictional report sample (sample, fictional data).
What we need from you
- A named contact with authority over licensing
- Reports named in the scope, such as the licence summary, user licence assignments with last sign-in dates and a subscription list
- Any Copilot or add-on plans and your renewal dates
How it works
- Send an enquiry. Tell us the question. Keep credentials and customer data out of it.
- Agree the written scope. We propose scope, fee and timing in writing. Nothing starts until both sides accept it.
- We review what you choose to share. We read only the reports in the agreed scope. We do not sign in to your tenant or admin centre.
- You get a written report. It says what was checked, what was not, and suggested next steps.
- Any change is approved separately. A report does not authorize changes; anything that changes needs its own written approval.

What we need from you. A named contact with authority, and a small set of evidence you choose to share through a channel we agree in writing first. Please do not send credentials, access tokens or customer exports through the enquiry form.
What we do not do. We do not sign in to your admin centre, assign or remove licences, cancel or buy subscriptions, or talk to your reseller. We promise no savings.
What needs separate approval. Any licence change, subscription change, purchase or cancellation, and any follow-up check after changes.
Questions before an enquiry
How much will we save?
We cannot say in advance. The report shows unused, mismatched or overlapping licences, with dated list prices, so you can decide. No saving is promised, and your actual prices may differ.
Which prices do you use?
Published list prices, with their date shown. Negotiated, partner and regional prices differ, so treat the figures as a guide.
Will you change our licences?
No. Changing or cancelling licences is your decision, and cancellation windows can be limited, so the report highlights renewal dates.
Does it cover Copilot?
Yes: assignment versus use, and eligibility questions. Microsoft says Copilot licensing and terms change, so check current Microsoft documentation before buying.
What is the difference from the free tools?
The free tools analyse a file or estimate costs in your browser. The review adds a person reading your reports in context, with a written report.
